We are recruiting a Clinical Operations Associate. As a Clinical Operations Associate you will be supporting both the psychiatry/medication management and therapy teams to drive strong clinical and operational practices. You will play a supportive and critical role in ensuring the overall delivery of high-quality patient care as we scale to clinical excellence. You will be responsible for supporting operational and clinical processes, clinical quality projects, implementing clinical workflow and documentation initiatives, various ad hoc quality projects, and promoting a culture of continuous improvement.

Responsibilities:

5% Quality Metrics Support: Support clinical leaders and internal team to compile, analyze, and help report on clinical quality metrics, the RVU model data collection, and help to ensure compliance with established standards.

  • Support clinical leads in quality improvement projects related to data and tracking reports
  • Support provider chart audit assignments and tracking outcomes on a quarterly basis and support improvements.
5% Supportive Management of Provider Team Schedules: support new provider schedules, resignation/termination and collaborate with Care Coordinators on transitions
10% Collaboration with Internal Operations Teams: Work closely with cross-functional teams, including ops, HR, billing, analytics, and clinical onboarding specialist to align clinical operations with overall company goals.

  • Support ad hoc collaborative projects
5% Maintain Agenda Structure Support: Assist in creating and organizing agendas for department meetings, ensuring that all relevant topics are addressed and documentation is prepared in advance.

  • Scheduling, preparing materials, recording minutes, and following up on action items.
  • Support for Psych and Therapy Department Meetings
  • Help create and maintain a schedule for prescriber clinical supervision
5% Responsible for Practice Manager: 

  • Provider data at onboarding and ongoing maintenance to ensure accuracy
5% Manage On-Call Workflows for Prescriber Services:

  • Create the on-call schedule based on assignment and rotation
  • Send Reminder emails to providers
  • Collect invoices and submit to payroll
5% Generate Missing Claims Report: 

  • Export data from dashboards and send report to respective pod managers and supervisors
15% Support Clinical Leads in Workflows:

  • Support drafting content with clinical guidance, formatting, and socialization steps
10-15% Support Prescriber pod functions:

  • Support the creation of agenda’s and data in the Prescriber POD model workflows
    • Support for team’s success in proactive schedule management
  • Work closely with Clinical and Operations to support prescriber pod model functions and workflow optimizations
    • Ability to provide prescriber insights that may impact pod model
5% Prescriber Capacity and Utilization:

  •  Support the data collection and export of data to a tracking system
5% Associate Therapist to Independently Licensed Therapist Transition:

  • Maintain the Spreadsheet of providers applying for clinical licensure. Once the exam is passed, collaborating with the credentialing and care coordination team. Adjusting the insurances in practice manager.
15% Ad Hoc Projects: Contribute to various projects aimed at enhancing the telehealth mental health startup’s operations, scalability, and service offerings.

  • Support Team Q&A throughout business hours & ad hoc support for executing workflows.
  • Support for pulling contractor payroll data into report on biweekly basis

Qualifications:

Required (Education/Experiences/Competencies):

  • A high school diploma or equivalent experience is required; a background in Behavioral Health or Sciences (e.g., BA in Psychology or BS in Applied Science) is preferred but not required.
  • Minimum of 1 year of experience in healthcare operations or patient care field.
  • Exceptional communication skills, both written and verbal, with the ability to articulate complex information clearly and effectively.
  • Self-starter mentality with a strong sense of teamwork and the ability to thrive in a fast-paced, dynamic environment.
  • Strong analytical skills and a collaborative approach to problem-solving, with the ability to think critically and propose innovative solutions.
  • Proficiency in multitasking, prioritizing tasks, and managing time effectively to meet deadlines and achieve goals.
  • Comfortable working in a fast-paced, changing environment.
  • Open-mindedness and a genuine curiosity for the behavioral healthcare field, coupled with a passion for making a positive impact on the lives of others.
  • Fluency in Spanish, Chinese, or other languages is a plus but not required.
